Refunds & Disputes

    XcrowPay holds a buyer’s payment in escrow until the deal is done. This page explains when the money is released to the seller, what happens if something goes wrong, and when a buyer gets their money back. It summarises sections 4, 7 and 8 of our Terms of Use, which take precedence if anything here differs.

    1. When funds are released to the seller

    Funds are released to the seller’s registered bank account when the buyer confirms they received what they paid for. The payout starts immediately; how quickly it reaches the account depends on standard banking processing times.

    If the buyer doesn’t confirm or raise a dispute, we send them a reminder and notify both parties. If there is still no response and no dispute, our team reviews the transaction and releases the funds to the seller, normally within 2–3 days of those notifications. Funds are never released while a dispute is open.

    2. Raising a dispute

    Either the buyer or the seller can raise a dispute at any time before the funds are released, using the Raise a Dispute button on the transaction page or on the payment link. Raising a dispute locks the funds until it is resolved.

    Include as much evidence as you can, for example:

    • Screenshots of your chat with the other party, including what was agreed
    • Photos or videos of the item you received, or proof of delivery
    • Waybill or tracking details, delivered files, or anything else that shows what happened

    3. How long a review takes

    Urgent cases, such as suspected fraud, are prioritised and handled as quickly as possible. We aim to review most disputes within 24–48 hours. Complex cases, or cases where we are waiting for evidence from one of the parties, can take longer.

    4. How disputes are decided

    Our team reviews the evidence from both sides and makes a final decision: the funds are either released to the seller or refunded to the buyer. XcrowPay’s decision is final, as set out in section 7 of the Terms of Use.

    5. Refunds

    A buyer is refunded the transaction amount when:

    • the transaction is cancelled before the seller delivers, or
    • a dispute is resolved in the buyer’s favour.

    The escrow service fee is non-refundable, because it covers holding the funds and processing the payment. Refunds are returned through our payment partner to the account the buyer paid from, and timing depends on standard banking processing times.
